Corona Virus (Covid-19) Continuity Plan
Overview
First reported in early January, the coronavirus (COVID-19) has spread quickly from China to more than 100 countries around the world, affecting global markets and disrupting travel.
Diamond Hygiene Ltd (DH) are closely monitoring the spread of COVID-19 and remain focused on the safety and well-being of our employees and our ability to maintain high-quality service for all our clients.
Precautionary Measures
Travel
DH has suspended all non-critical business travel and we are also discouraging employees from non-essential personal travel. Additionally as a safeguard, in the circumstance that any employees have visited an impacted area or indeed have a household member who has done so then we are mandating that for office based staff they work remotely for 14 days and for service engineers they remain at home for 14 days and under no circumstance are they to come to the office.
Meetings
DH has suspended all face-to-face meetings actively encouraging the use of video/telephone conferencing this suspension includes both internal and external meetings
On Site Servicing
Due to the nature of our business we are still required to attend customers and sites to conduct washroom hygiene servicing even more so given the current global situation. All engineers will attend sites as per usual unless advised not too directly by individual customers
Our engineers attend each job wearing fresh clinical gloves which are removed and disposed of in their work vans upon completion of each job.
As a precaution we are currently suspending the requirement for signatures at client’s premises, this is in line with the government’s advice on social distancing. Instead the engineers will complete the appropriate paperwork upon completion of service. Validation of attendance will be through our vehicle on board tracking system.
Service Engineers will attend our head office depot individually once a week in agreed block times to source equipment and load their vans accordingly for the coming weeks work
Self-Isolation and customer advice
In the circumstance that any DH employees or a member of their immediate household present with a persistent cough and/or fever they will self-isolate as per government and Public Health England Guidelines.
All sites visited within the previous seven days by any engineers that have self-isolated will be advised immediately by DH Senior Management Team as a matter of precaution.
DH has a robust procedure for covering all servicing routes with existing trained service engineers and believe any interruption to service will be kept at a minimal. We do however ask customers to bear with us during this time.
Hand Sanitisers - Updated 17/03/20
We are currently experiencing severe delays with deliveries of Hand Sanitiser fluid. Although we placed bulk orders from several different sources a number of weeks ago, despite our best efforts, we are yet to recieve our promised deliveries. We are working with our suppliers to get our orders delivered, but they are experiencing delays right through the supply chain due to the shortage of raw materials to make the product.

If you have already placed an order for our hand sanitiser units, please be assured that as soon as we get the hand sanitiser in stock, our team is prepped and ready to get your units installed as quickly as possible. We will let you know as soon as we have a delivery date.

We have temporarily placed a hold on new orders until our exisiting orders have been fullfilled.

Due to the worldwide shortage, we are unable to sell dispensers and hand sanitiser fluid directly to new or exisiting customers for the forseeable future. Once our stock has arrived, we have sufficient fluid to keep our existing hand sanitiser customers units filled for at least 4 months. We will be ordering more hand sanitiser fluid once it is available to order.
Charging for services if a client premises is closed during the Corona Virus Outbreak
Many of our clients are contacting us to inform us that they are temporarily closing their business premises. We are operating under the instructions of Central Government in this uncertain time, and are continuing to operate whilst the official recommendation is for businesses to remain open.

As per the Government recommendations, it is imperative that all hygiene standards are kept to their maximum at all times, especially in the current situation.

We can suspend the service at your business premises if you request us to do so, however as there has been no official notification from Government to close premises, Diamond Hygiene is still operating and available to carry out the services as per the terms of your agreement, and as the services being invoiced for include both the service visits and the renting of the equipment supplied, we must continue to invoice until the stance from Government changes.
